Confirmation of Event Details:
Please inform us at least 6 week before your Event of the exact number of attendees by contacting your designated Event Manager via email. Any additional charges or fees added after signing this Event Agreement will be retroactively included and subject to the below cancellation policy. The arrangements outlined in the Event Agreement will serve as the final arrangements for your Event. Services, products and fees as noted will be provided at the time of your Event, and charges will be based on either the Event guarantee provided by you or the number of attendees indicated at the time of signing the Event Agreement, whichever is greater.
Deposits:
The initial deposit paid to the venue upon confirmation of the event is non-refundable.
Cancellation Policy:
All amounts paid to the Dome are non-refundable. Events cancelled within 6 weeks of the scheduled date will incur a 100% charge of the event cost.
Date changes:
Requests for date changes will be considered at our discretion on a case-by-case basis, subject to availability, and may incur additional charges.
Unforeseen events:
The venue cannot be held responsible for failure to provide basic facilities and services due to emergencies, catastrophes, interruptions of public utilities, or other force majeure events. If an unforeseen circumstance prevents the event from taking place as scheduled, The Dome Worthing may allow for rescheduling, pending availability, with no penalty.
Damages:
A refundable damage deposit may be required, the amount of which will; be determined by the event manager and dependent on the nature of the event. This deposit is due 6 weeks prior to the event and will be returned to the client(s) up to two weeks after the event date, following an inspection for any damages. Damages exceeding £20 will be the responsibility of the client.
Cleaning:
Any excessive cleaning required post-event due to the condition of the event space post-event will be charged at an hourly rate plus the cost of materials and deducted from the damages deposit. If no damage deposit, the client will be invoiced accordingly.
Food & drink:
As the event host, you are responsible for ensuring proper and lawful consumption of alcoholic beverages throughout the duration of the event. No alcohol consumption by persons under age 18 is permitted. The venue operates a Challenge 25 policy. Clients must provide food and catering services for any event, acknowledging that this is a third-party transaction not included in any package arranged with the Dome. No outside beverages are permitted; all beverage sales must be through the venue's bar facilities.
Beverage Guarantee:
The Beverage Guarantee must be paid six weeks prior to the event. Clients are offered flexibility in how they utilise this deposit, with options to apply it towards a full bar tab, a partial bar tab, or to opt for no bar tab at all. For a partial bar tab, the deposited amount remains open on a single bill until the predetermined amount is met. Once this threshold is reached, the bar transitions to a paid bar. Similarly, with a full tab, guests can freely order until the deposit amount is exhausted, at which point it converts to a paid bar service. In the event that the client prefers to cover all expenses, a credit card will be held on file to settle any additional charges beyond the deposit amount. For those who choose no bar tab, payment for drinks is made directly on the night of the event through a paid bar service. After the event, the total spend is evaluated. If the spend falls short of the deposit amount, the difference is refunded to the client. Likewise, for a partial tab, the final spend is assessed against the combined deposit and bar spend, with refunds issued accordingly if the total spend is below the deposit.
Should the spend equal or exceed the deposit, a full refund of the deposit is provided to the client.
Liability
The client agrees to indemnify and hold The Dome Worthing, its officers and agents harmless from any liability, claims, actions, demands, or losses resulting from any act or omission by the client or guests during the event. The client agrees to pay on an indemnity basis all costs and legal fees incurred by the Dome Worthing in defending any such claim or action.
Suppliers
Outside suppliers must be approved by the venue and provide proof of relevant insurance. All equipment brought onsite must be in safe working condition. Clients are responsible for organizing and coordinating third-party services for any event, understanding that these transactions are separate from any package arranged with the Dome.
